Position Summary
Reporting to the Controller, the Accounts Receivable Clerk will support the functions of the Finance department. They will be responsible for processing payments, reconciling accounts, assisting with bank reconciliations, participating in month-end close activities, and assisting with audits and special projects. This role involves working closely with all departments of the organization.
Responsibilities
- Support Dixon Hall in optimizing the financial transactions and systems by performing reconciliation of payments and customer accounts.
- Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared.
- Coordinate and verify invoices for appropriateness/accuracy prior to distribution of invoices.
- Communicate discrepancies to management team, identify slow-paying customers, and recommend collections candidates.
- Supports colleagues regarding billings and payments.
- Generate monthly and ad-hoc invoices.
- Track revenue payments as per contracts.
- Preparation of Monthly User Fee Schedule and related journal entry.
- Coordinate all aspects of bank deposits from preparation to depositing at the bank to applying in software.
- Coordinate and process all aspects of preauthorized and credit card payments for multiple departments.
- Prepare journal entries as needed.
- Troubleshoots software technical issues with management.
- Other duties as assigned.
- Gather and prepare supporting documents for year-end close.
- Participate in the preparation for interim and annual external audits.
- Assist auditors by providing requested documentation and explanations.
Qualifications
- Post-Secondary degree/diploma in an accounting-finance program.
- 3+ years related experience in a similar role.
- Excellent communication and interpersonal skills.
- Detail oriented, consistently accurate and ability to maintain a high level of confidentiality.
- Ability to work independently or as part of a team with minimal supervision.
- Ability to be flexible and to take initiative.
- Proficient with Microsoft Office Application and accounting software.
- Experience preferred but not necessary for software currently used by the Agency (i.e. MS Dynamic Business Central Software, and AlayaCare Software).
- Excellent computer skills including a working knowledge of evaluation and research software (MS Office applications).
- Strong written and verbal English Language communication skills with a robust ability to exchange knowledge.
- Superior organizational, analytical, problem-solving abilities; Able to manage multiple projects and deadlines, prioritize, take initiative.
- Self-directed and independent, as well as proven experience in working effectively as an inter-disciplinary team member and in collaboration with other community professionals.
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
